Job Description

Position Description:

Administrative Assistant Duties

  • Coordinate and maintain daily schedule and operations for co-owners
  • Coordinate travel plans for co-owners and other Dental Crafters employees as requested
  • Schedule meetings for co-owners
  • Answering calls and handling queries
  • Create, maintain and prepare various documents and materials
  • Type and prepare correspondence as requested
  • Provide administrative support to the company management team and other office functions as needed
  • Perform personal errands for co-owners when needed
  • Help with marketing phone calls and other miscellaneous items
  • Schedule appointments with doctor offices to set up dates for surgeries
  • Perform other duties as assigned by co-owners

 

Accounts Receivable

  • Customer statement reconciliation
  • Record and reconcile daily payments from multiple sources
  • Contact customers to resolve/collect on past-due balances
  • Field customer calls and resolve accounts receivable issues

 

Accounts Payable

  • Review, match and process vendor invoices for payment
  • Maintain timely and accurate Accounts Payable filing systems
  • Field vendor calls and resolve accounts payable issues
  • Enter general journal transactions

 

Month End

  • Produce and mail month-end customer statements
  • Assist with other month end tasks and activities

 

Other

  • Assist with bi-weekly payroll activities
  • Maintain accurate and complete accounting documentation
  • Maintain computerized customer database
  • Maintain current job knowledge through reading industry literature and computer system updates/changes.  Attend seminars and conferences as approved
  • Answer telephone and assists other employees as needed
  • Assist with projects from other departments; human resources, purchasing, marketing
  • Other duties and special projects may be necessary to fulfill the responsibilities of this position

Job Requirements

Position Requirements:

  • 1 to 3 years of experience in administrative/executive assistant position or similar field
  • Strong Microsoft Office computer skills
  • Experience with QuickBooks or similar accounting software
  • Excellent written and oral communication skills
  • Ability to multi-task under pressure
  • Ability to work with minimal supervision
  • Excellent communication and organizational skills
  • Efficient and self-motivated
  • Detailed orientated and good time management abilities
  • Excellent customer service and courteous telephone manners
  • Hours:  Monday through Friday, typically 8-5 High school diploma or equivalent
