Job Description


Position Summary: As a team member, provides support to attorneys, patent agents and paralegals as needed. Interface with clients, the United States Patent and Trademark Office (“USPTO”) and other entities in the prosecution of client patents and the preparation, filing, and prosecution of trademarks; and handling of IP litigation filings Prepare reporting communications to clients; e-filing; familiarity with Office Action rules and classification and counting of claims; transcribing dictation of attorney time entries and other correspondence; document processing; arranging meetings and conferences; monitoring incoming mail and e-mails, handling of telephone calls, travel arrangements; filing and other administrative duties as assigned.

Responsibilities (include but not limited to):

●  Assists attorneys in the preparation and filing of patent and trademark documentation with the USPTO, and PCT patent filings

●  Prepare litigation documents to be filed with the USPTO and U.S. District Court

●  Works with various foreign agents to file direct national patent and trademark applications

●  Uses word processing and document management software (Microsoft Office 2010, including Excel, Workshare Compare, DM, etc.) to prepare/revise, format and finalize a wide variety of documents

●  Strong proficiency working with CPI (patent docketing software), Private/Public PAIR, EFS and TEAS filing systems, and TSDR trademark database

●  Prepares new client screening applications and conflict checks

●  Work closely with Accounting Department staff to prepare and manage client billings;

●  Making travel arrangements with assistance of travel agency to ensure all aspects of travel are made accurately and communicated effectively

●  Prepare and submit expense reports

●  Answer, screen and place phone calls to clients and other business associates and respond to client inquiries

●  Open, review and route mail as directed

●  Interacts on a daily basis with departments within the Firm to facilitate highest possible legal support

●  Establishes and maintains paper and electronic files in compliance with current Firm policies

●  Provide assistance to other Legal Secretaries within Firm whenever necessary to meet Firm and client needs

Job Requirements

Qualifications and Education:

●  Associate’s degree preferred

●  Minimum two (2) years of legal secretarial experience in Intellectual Property – Patent and Trademark prosecution and litigation matters

●  Must be able to multi-task and prioritize tasks in high-pressure environment

●  Strong organizational skills combined with the ability to work independently

●  Knowledge of USPTO practices and procedures, docket reports, TEAS/TSDR system as well as electronic filing experience through PAIR with USPTO

●  Advanced proficiency in Microsoft Word and formatting documents, with a minimum typing speed of 65 words per minute required

●  Ability to work core business hours of 9:00 a.m.–5:00 p.m. with flexibility for overtime

●  Ability to deal courteously/effectively with others
